How do I view board participants and manage member access?

Check live attendees in the header participant badge and manage collaborator permissions under Settings > Members.

Problem This Solves

Check live attendees in the header participant badge and manage collaborator permissions under Settings > Members.

When to Use This

Open a retrospective session with facilitator or board administrative privileges.

Prerequisites

  • Open a retrospective session with facilitator or board administrative privileges.

Step-by-Step Instructions

  1. Check the Header Badge: Look at the top right of the board header toolbar to inspect the participant badge showing active participant count (e.g., displaying 10 alongside active avatars).
  2. Open Board Settings: Click the Settings tab in the board's top navigation bar.
  3. Navigate to Members Tab: In the left sidebar settings menu, click on Members.
  4. Review Active Collaborators: Browse the roster of joined participants, viewing profile names, assigned roles, and current session activity.
  5. Manage Access & Role Assignments: Adjust participant permissions between Facilitator (can control phases and board controls) and Member (contributes feedback cards and votes).
  6. Remove Unauthorized Members: If an unrecognized participant joins, use the member management options to revoke access to the session.

Expected Outcome

You have verified active session attendance and configured appropriate collaborator permissions on the board.

Troubleshooting & Realistic Tips

  • Co-facilitating a large team retrospective? Designate a second facilitator under Members so they can manage timers and reveal cards.
