How do I share a retrospective with my team?

How to distribute board access, onboard teammates, and manage seat capacities for retrospective sessions.

Problem This Solves

Facilitators need a frictionless way to bring distributed engineering squads onto a single retrospective board simultaneously without administrative delays or per-seat billing obstacles.

When to Use This

Follow these steps right after creating your retrospective board and prior to starting your scheduled meeting.

Prerequisites

  • An active retrospective board in your LetRetro workspace.
  • Member or administrator access to the board's workspace.

Step-by-Step Instructions

  1. Open Your Board: Open the retrospective board you plan to run with your squad.
  2. Copy Access Link: Copy the board's unique URL directly from your browser's address bar or the board toolbar.
  3. Distribute Link: Paste the link into your team's communication channels—such as Slack, Microsoft Teams, or the meeting calendar invite.
  4. Join Together: Instruct teammates to open the URL at the scheduled kickoff time to enter the synchronized session.

Understanding Access & Seat Capacities

LetRetro utilizes a pooled seat model to prevent surprise per-user charges:

  • Free Workspace: Up to 20 pooled seats across 1 team, with up to 3 total boards.
  • Pro Workspace ($15/month flat): 200 pooled seats across unlimited teams, with unlimited boards.
  • Enterprise Plan: Unlimited pooled seats with dedicated support and SSO/SAML integration.
  • Participant Roles: Retrospective boards are collaborative workspaces where participants with the link can submit cards and vote. (Note: Granular per-board role toggles such as separate Viewer-only modes require confirmation with the LetRetro product team; organization-level RBAC is managed for Enterprise workspaces).

Expected Outcome

All team members enter the shared board simultaneously and can contribute cards, vote, and collaborate without waiting for manual access approvals.

Troubleshooting & Realistic Tips

  • Organization Restrictions: If corporate firewall or SSO settings prevent external attendees from loading the board, confirm domain access rules with your workspace administrator.
  • Scaling Past 20 Members: If your team retro exceeds 20 participants on Free, upgrade to Pro to support up to 200 pooled seats.
